PHARMACEUTICAL BUSINESS / WORKING CHECKLIST

Pharmaceutical registration document coordination: a working checklist

Registration document coordination means turning a requirement or dossier question into a traceable action: identify its source, assign a technical owner, track the document version and obtain confirmation of the response. A completed document handover records what was sent; it does not itself establish regulatory acceptance or product approval.

A business coordination note, not a product catalogue, approval commitment or market-specific regulatory checklist. Confirm actual requirements with the responsible project teams.

Separate the requirement from the proposed response

Keep the original request alongside the team's interpretation. Record the destination, product, requesting party and request date. If wording is translated, retain the source-language version so a technical reviewer can check meaning. The checklist on this page organizes communication; it is not a country-specific dossier requirement list.

Build a document tracker around ownership

A tracker should make it possible to find both the current file and the person who can answer a question about it. These fields are useful even when a project has only a handful of open documents.

  • Request reference and source: who asked, when, and for which product or market.
  • Document title, file version, issue date and approved sharing location.
  • Technical owner, business coordinator and intended recipient.
  • Status: requested, under review, ready to share, sent or awaiting clarification.
  • Next action and target response date, distinguished from a committed approval date.

Review before handover and keep the receipt

Before sending a package, confirm that its files correspond to the intended product and version and that the responsible team has authorized external sharing. Record the package contents and the recipient's acknowledgement. If a file is replaced, identify the superseded version instead of leaving two apparently current copies.

Use official references for regulatory questions

ICH provides the official Common Technical Document reference. Consult the destination authority and the responsible regulatory professionals for the requirements that apply to an actual submission. A general format reference cannot resolve a product-specific question by itself.

The next useful action

Good coordination closes the communication loop: request, owner, version, response and acknowledgement. Keep regulatory decisions attributed to the people or authority responsible for them.
